Rejection and Resubmission

How to reject submissions that need corrections and manage the resubmission process

When to Reject a Submission

Reject a submission when the parent needs to make corrections or provide additional information. Common reasons include:

  • Incorrect or incomplete child details
  • Missing or invalid eligibility code
  • Signature issues
  • Missing required documents (Legal ID, medical info)
  • Incorrect funding hours or type
  • Address discrepancies

How to Reject a Submission

  1. Open the submission and click 'Review'
  2. Review all sections and identify the issues
  3. Select 'Reject' as your decision
  4. Enter a clear rejection reason explaining what needs to be corrected
  5. Optionally specify the required correction (specific field or action needed)
  6. Choose whether to require additional information on resubmission:
    • Require Legal ID - If identification document is needed
    • Require Medical Info - If health information is needed
  7. Click 'Reject Submission'

What Happens After Rejection

When you reject a submission:

  • The submission moves to Rejected status
  • A new verification code is generated (old code no longer works)
  • Parent receives an email/SMS notification with the rejection reason
  • The existing signed agreement is archived (preserved for audit trail)
  • Parent must view the agreement and re-sign the declaration
  • The rejection reason is recorded in the submission history

The Resubmission Process

After rejection, the parent can resubmit:

  1. Parent receives notification with a link to access the submission
  2. They see the rejection reason explaining what needs to be fixed
  3. They complete the required steps again (may include all steps depending on what was changed)
  4. They must view and re-sign the funding agreement
  5. The submission returns to Parent Submitted status
  6. Staff review the corrected submission

Multiple Rejections

If further corrections are needed:

  • You can reject again with a new reason
  • Each rejection is recorded with timestamp and staff member
  • All previous signed agreements are archived
  • Parent receives a fresh verification code each time

Viewing Rejection History

The submission Details page shows:

  • All previous rejection reasons with dates
  • Archived documents from previous submissions
  • Timeline showing rejection events

Tip: Write clear, specific rejection reasons. 'Please update your address to match your proof of address document' is better than 'Address incorrect'.

Important: Rejections require the parent to complete the entire signing process again. Only reject if corrections are genuinely needed.
