Recording and viewing identity documents for funding verification
Why is Legal ID Required?
Local authorities require proof of identity for children claiming funded hours. This helps prevent fraud and ensures funding goes to eligible children.
Accepted Documents
- Birth Certificate - Original or certified copy
- Adoption Certificate - For adopted children
- Passport - Valid passport
- Other Official Document - In exceptional circumstances
Document Number Requirement
When uploading identity documents, the document number is mandatory for most document types:

The document number is displayed on the submission review page for verification purposes.
Recording Legal ID via Staff Portal
- Navigate to the child's details page
- Click Edit
- Scroll to the Legal ID section
- Tick 'Legal ID Seen' to confirm you have viewed the original
- Select the document type
- Enter the document number
- Optionally upload a photo or scan of the document
- Click Save
Parent Portal Legal ID Upload
If a submission requires legal ID, parents can upload it through the parent portal:
- Parent accesses their submission
- Navigates to the Legal ID step
- Selects document type
- Enters document number
- Takes a photo or uploads an existing image
- Submits for staff review
Viewing Uploaded Documents
On the child details page, the Identity Document section shows:
- Verification status (Verified/Pending)
- Document type
- Document number
- Thumbnail of uploaded image (for image files)
Image Viewer
For uploaded images (photos of documents), you can:
- Click the thumbnail to view full size
- Click 'View Full Size' button
- View the image in a lightbox overlay
- Close by clicking X or clicking outside
For PDF documents, a download link is provided instead of the image viewer.
Important: You should see the original document, not a photocopy. Uploaded images are for your records but don't replace viewing the original.
Supported Formats: JPEG, PNG, GIF for images; PDF for documents. Maximum file size is configurable by your administrator.
