What common error messages mean and how to resolve them

Common Error Messages

'Access Denied' or 'Unauthorized'

Meaning: You don't have permission for this action

Solution:

  • Check you're logged in
  • Verify you have the required role (Staff, Manager, Head Office)
  • Confirm you have access to the specific nursery
  • Contact your administrator if you need access

'Session Expired'

Meaning: You've been inactive for too long

Solution:

  • Log back in
  • You may need to re-enter unsaved data
  • Save work frequently to prevent data loss

'Validation Error' (Red text on forms)

Meaning: Required fields are missing or data format is invalid

Solution:

  • Read the specific error message next to the field
  • Fill in all required fields (marked with *)
  • Check date formats (DD/MM/YYYY)
  • Check phone/email formats

'Record Not Found'

Meaning: The requested item doesn't exist or was deleted

Solution:

  • The record may have been archived or deleted
  • Check you have the correct reference number
  • Use search to find the record

'Duplicate Record'

Meaning: A similar record already exists

Solution:

  • Search for the existing record first
  • For children: check by name and DOB
  • For submissions: check for existing submissions for the same period

'Cannot Delete' or 'Record In Use'

Meaning: The record is referenced by other data

Solution:

  • Delete or archive dependent records first
  • Children with submissions cannot be deleted
  • Consider deactivating instead of deleting

'Server Error' or '500 Error'

Meaning: Something went wrong on the server

Solution:

  1. Wait a moment and try again
  2. Refresh the page
  3. If persistent, contact support with the error details

'Network Error' or 'Connection Failed'

Meaning: Cannot connect to the server

Solution:

  • Check your internet connection
  • Try refreshing the page
  • Check if other websites are working
  • The server may be temporarily unavailable

Reporting Errors

When contacting support about an error:

  1. Note the exact error message
  2. Note what you were doing when it occurred
  3. Take a screenshot if possible
  4. Note the time it occurred
  5. Include your username and browser
