Additional Extras (Chargeable Items)
Managing meals, activities, trips and other chargeable extras for children
Step-by-Step Guide
Navigate to Child Details
Go to the child's details page.
Find Additional Extras Section
Scroll to the 'Additional Extras' section.
Click Manage
Click the 'Manage' button to open the extras management page.
Add Extras
Select extra types from the dropdown and configure amounts, frequency, and applicable days.
Save Changes
Click 'Save' to apply the extras to the child's record.
What are Additional Extras?
Additional extras are optional chargeable items that families may choose for their children, in addition to funded hours. These are separate from government-funded childcare and must be disclosed to parents.
Types of Extras
Extra types are configured by administrators (Admin > Additional Cost Types) and typically include:
- Meals - Breakfast, lunch, tea, snacks
- Activities - Music classes, sports sessions, language lessons
- Trips - Day trips, outings, special events
- Consumables - Nappies, sun cream, craft materials
- Other - Any other chargeable items
Configuring Extras for a Child
Each extra can be configured with:
- Cost Type - Select from available types (each has a default amount)
- Custom Amount - Override the default amount if needed
- Frequency - Daily, Weekly, Monthly, Per Session, One-off
- Applicable Days - Which days the extra applies (Mon-Fri)
- Start/End Date - Optional date range for the extra
- Notes - Additional information (e.g., 'Vegetarian meals')
- Active Status - Whether the extra is currently active
How Extras Appear on the Details Page
The Additional Extras section shows:
- Extra name and description
- Amount per unit (using custom or default amount)
- Frequency badge (e.g., 'Daily', 'Weekly')
- Applicable days
- Date range if set
- Notes
- Active/Inactive status
How Extras Appear on Funding Agreements
Additional extras are displayed on the GOV PDF agreement form in Step 5: Setting & Attendance. This ensures parents are fully informed about all charges before signing.
An Additional Charges Disclosure notice also appears explaining:
- Government funding covers free hours only
- Additional charges apply for optional extras
- Parents should be informed of costs before agreeing
Tip: Keep extras up-to-date so parents always see accurate charges on their funding agreements. Use the Active/Inactive status to temporarily disable extras without deleting them.
Important: Funded hours must be available without requiring parents to purchase additional extras. Extras should always be optional.
